May 18 Swim Meet - Bartram Crossing @ Durbin Crossing
Good evening Dolphin parents!
There is a lot of important information about our upcoming meet included in this email so please review all of it carefully!
Attached to this email you will find three documents:
- Heat Sheet - Print a copy of this to bring with you to the meet so you can follow along with the meet. There may be changes before Saturday, but unless it impacts your swimmer, this version will work for you. If your swimmer is impacted by an event/heat change, you will hear from Meredith or Andrew Connell or your coach.
- Entry List - Please review the entries for your swimmer(s) ASAP and reply to this email if there are any concerns, questions, or issues with them! Do not wait until Saturday morning!!!
- Parking zones & deck map - Parking is our biggest challenge during meets. If you can, please drive your stuff up to the field and then return home to park your car and walk, bike or carpool back up to the pool. The fewer cars we can have at the pool the better. Remember if you have to park on the street, do not block driveways, crosswalks, roadways or fire hydrants. Please don't park on both sides of the street.
The timeline for the morning is:
Swimmer and Volunteer Check-in**: 6:15 to 6:30 am
Durbin Crossing Warm-Ups: 6:45 to 7:15 am
Bartram Warm-Ups: 7:15 to 7:45 am
Meet Starts: 8:00 am
**We have had several second-half volunteers ask what time they have to be there. The answer is between 6:15 - 6:30 with all the other volunteers. We have no way of estimating the time that the second half of the meet will start and we must ensure all volunteers are on-site in the morning so that if we have any no-shows for jobs we can fill them ASAP. Every volunteer job we have is critical to the success of the swim meet. We appreciate the time you spend working for our team. We couldn't do it without you!**
If you need a refresher on items to bring, how to mark your swimmer, where to set up, or anything else first time meet related, please check out this overview that should answer many of your questions. Also, we will have our first-time parent table set up again in one of the picnic areas in the field, so please stop in and ask any questions you might have! No question is too silly for a first-time swim parent!
We will have three food trucks providing food and beverages for the meet. Back to the Grind Coffee Truck will be on-site from 6:30 – 8:30 am. JoySchtick (burgers) will be onsite around 10 am. Kona Ice will be selling shaved ice. In addition to that we will have a limited concession stand offering water, Gatorade, candy and donuts. Should your swimmer and family need other options for food, please bring your own!
Friday Night Meet Set Up Crew: If you are committed to assist with set up on Friday night, please plan to meet at the pool at 9:00 pm tomorrow night. Many hands make light work and with everyone there on time, we should be able to knock it out quickly. Should we be able to meet earlier than that, you will get a message to come earlier. We have to wait until the majority of the pool deck is cleared off before we begin working.
Remember to wear your team shirts, suits and swim caps on Saturday morning to show your Dolphin spirit! If you have not picked up your team suit or spirit wear, you can stop by Williams Athletics to do that tomorrow. If you haven't yet purchased spirit wear, this week is the last week to do that! Place your orders by Sunday, May 19!
